Privacy Policy

Shieldfield Art Works is an arts organisation which is a project of the Methodist Church. All personal data given to SAW is kept only by SAW. We carry out a range of activities and communications which may request data from you. This policy sets out how we do this and applies to anyone who corresponds with us by phone, e-mail, social media or in person. Shieldfield Art Works needs to collect and use certain types of information about individuals who come into contact with our organisation in order to carry out our work. We will never share this data with any third parties unless are required to by law, or if you have donated money to us and have notified us that you are registered for gift aid – in this case we will share your information with HMRC and the Charity Commission for the purposes of administering this.

The personal data we collect about you may vary depending on the activity you undertake at Shieldfield Art Works or one of our events offsite. Most often we will collect from you your name and your email address. If you donate to Shieldfield Art Works we will also ask for your postal address for the purposes of administering any Gift Aid contributions you elect to provide, to keep you up to date with how your gift makes a difference and to let you know about future opportunities to support us.

Our mailing list signup form includes a field for phone numbers. Phone numbers will only be used (either through a phone call, sending a text message or WhatsApp) in matters relating to Shieldfield Art Works activity, such as change of plans, lost property and specific SAW groups. 

In the case of those wishing to hire Shieldfield Art Works’ building, we will process the data we collect from you under the lawful basis of ‘contract purposes’ as processing your information is necessary for the contract you enter into when you hire the building.

In the case of those attending the Painting for Fun class and other regular sessions or activity, members/attendees are asked for an emergency contact (or next of kin) whose contact details (name and telephone number) are collected under the ‘legitimate interests’ condition. Access to this data is kept secure and restricted to only those that need it.

We will store the email address of any individual who has given their explicit consent to be added to our mailing lists, for the purpose of sending emails related to the activity of Shieldfield Art Works. The lawful basis for processing these details is your given consent. Your email address will be kept on record for this purpose until you choose to opt out of our emails by following the ‘unsubscribe’ link provided at the bottom of each email. You may also withdraw your consent to sent emails by contacting the SAW office. When we send emails via Mailchimp, we store a record of this, and Mailchimp is able to collect and show us data that provides an indication of which of our Mailchimp emails you have opened and which links you have clicked on. This provides us with an indication of how effective and relevant our communication is.
